Job Description
  1. Resource Allocation:
  • Strategically plan and allocate resources (artists) to projects based on requirements and deadlines.
  • Monitor and adjust resource allocation in response to evolving project needs and priorities.
  • Maintain a comprehensive resource schedule to ensure optimal utilization.
  • Track leave requests in collaboration with the department artist manager and participate in discussions with creative and DPM teams for leave approvals.
  1. Outsource Decision Making:
  • Assist in outsourcing decisions by evaluating the feasibility of in-house work.
  • Assess possibilities for resource movement, shift management, and excess work management to minimize the need for outsourcing.
  1. Project Coordination:
  • Collaborate closely with Department Artist Managers, project managers, department heads, and team leads to understand project requirements and timelines.
  • Participate in project planning meetings, providing insights on resource availability and constraints.
  • Plan and allocate resources for multiple projects, including forward planning and potential crew assignments.
  • Work with Recruitment and Human Resources to identify and address recruitment needs.
  1. Data and Reporting:
  • Maintain accurate records of resource allocation and outsourcing activities.
  • Generate regular reports on resource utilization, project progress, and outsourcing performance.
  • Analyze data to identify trends and provide recommendations for process improvements.
  1. Excess Work Management:
  • Ensure that the workload is evenly distributed among the team members to prevent overburdening any single individual. This involves reallocating tasks and adjusting deadlines as necessary.
  • Strategically assign resources to projects based on the artists skills, experience, and availability.
  • Track and analyze the utilization rates of resources to identify any overuse or underuse. This helps in making informed decisions about reassignments or hiring additional staff if needed.
  • Prioritize tasks and projects based on urgency, client requirements, and available resources. Develop and adjust schedules to accommodate excess work while maintaining project deadlines.
  • Maintain clear communication with project leads, team members, and clients about workload status and any potential impacts on project timelines. Provide regular reports on resource utilization and excess work management strategies to senior management.
  • Effectively manage excess work to maintain productivity, employee well-being, and cost efficiency.
  • Monitor artists' productivity (bid vs actuals) and set realistic goals to control excess working hours.
  • Promote a healthy work-life balance.
Qualifications
  • Minimum of 2 to 3 years of experience in resource management, project management, or a related field.
  • Bachelor’s degree in a relevant discipline (e.g., Business Administration, Project Management).
  • Strong understanding of the VFX pipeline and industry standards would be a plus.
  • Excellent organizational and multitasking abilities.
  • Proficiency in resource management software and tools is advantageous would be a plus.
  • Strong analytical and problem-solving skills.
  • Effective communication and interpersonal skills.
  • Ability to perform under pressure and meet tight deadlines.
Additional Information
  • Experience with project management methodologies.
  • Familiarity with outsourcing practices and vendor management.
  • Proficiency in data analysis and reporting tools (e.g., Excel, MS Project, Power BI).
